Chaperone Info

Chaperone price is $585 per person.  Price includes the same info as the students.  Chaperones for Florida are NOT being done at this time.  However, parents can email Mr. Lukac (Jody.Lukac@ucps.k12.nc.us) to let him know if they are interested.  This does NOT mean that they are on the list.  We need to see how many students are going first before we start accepting chaperones.  We want to make sure we have enough room for all the students that want to go.  We will add a 3rd charter bus if we have to, but only if we have enough people to put on that bus without changing the overall cost of the trip per chaperone/student.  An official email will be sent by way of the boosters saying when chaperones may sign up and how many we need.  We will do our best to accommodate everyone.  Traditionally, we like to see an 8:1 student/adult ratio or better.  With the economy we are doing are best to keep the price down as much as possible.

 

Since this will be the last trip for the junior and senior students, those parents wanting to be chaperones will be given priority first.  We just want to give afford them the opportunity to travel with the band one last time.  Again, we will do our best to accommodate everyone that wants to go.  Obviously, the more parents the better, as long as we can keep the price from going up with adding a 3rd bus.

 

Please remember that this trip is for the students, and not a family vacation.  Many parents have inquired about going early or leaving after the band does.  If the student and/or adult pay the student/chaperone price, then he or she is expected to stay in the same hotel as the band and abide by the student/chaperone guidelines.  No exceptions.  Those guidelines will be posted as soon as possible.

 

Again, this trip is for the students.  This is trip is not required, but the band is performing at Disney World in a parade (hopefully the Magic Kingdom), and we really would love to see 100% attendance from the students.

 

If you are a chaperone for the Florida trip, please be aware that guidelines and expectations will be necessary to make sure all students are safe and given proper care from the moment we leave Piedmont to the minute we get back to school.  Thank you for your cooperation and understanding.  All chaperones are expected to ride the bus down and back from Florida.  Part of being a chaperone of the students while on the bus.

 

Safety is top priority in trips like this.  We want all students to be in an environment that they feel comfortable and safe at all times.  While on the bus, chaperones will be spread out throughout to properly watch the students.  While in the hotel, male students and female students will be on separate floors, with chaperones rotating shifts in the halls during the night.

 

This is a lot of information to process, but we want to make sure every student, parent, and family has an understanding of what this kind of trip entails.

 

The first payment for students is $150, and is due no later than September 1.

Dates April 5-9, 2010 (Monday – Friday)

 

Trip Prices

Quad Room Rate - $495.00 (I’m trying to get this price lowered).

Double Room Rate  - TBA

  • The double rate is for chaperones only.  Chaperones may pay the Quad rate if they are staying in a room with their child and 2 other students.  I must have written notes from the other students’ parents stating that it is ok for that adult to stay in the room.
  • Typically, we would like to have 1 adult for every 8 students.  I will accept chaperones until the buses is full.
  • We will only take 2 charter buses.  We will use three buses if I have enough people to pay for the difference in cost for the 3rd bus.

 

Payment Schedule

September 1 – $150 (or more) Deposit paid per person (non refundable)

October 1 – $100 (or more) per person (non refundable)

November 6 – $85 (or more) per person (non refundable)

December 1 – $85 (or more) per person (non refundable)

January 15 – $75 or remaining balance paid-in-full (non-refundable)

 

Price includes:

  • Transportation (and all costs associated with charter buses)
  • Hotel
  • 3-Day Hopper Pass to Disney World (no water park…sorry)
  • Magic Music Days Performance
  • 6 Meals (3 at hotel, 3 Disney Dining Cards)

Itinerary

Day 1 (Monday 4/5)

·        - Arrive at Piedmont

o       – Leave for Florida, driving through the night

o       Sleep on the Bus

 

Day 2 (Tuesday, 4/6)

·        Breakfast at hotel – ON YOUR OWN

o       Opportunity to freshen up before we arrive at the parks

·        – Arrive in Orlando

·        Spend the day at Walt Disney World (Hopper Pass)

o       Hopper Pass is good for Magic Kingdom, Epcot, Animal Kingdom, and MGM Studios

o       Chaperones will stay with small groups of kids to ensure safety while “hopping” around to the different parks and so no one gets lost.

o       Monorails, Trams, and Disney Buses are Free to Disney ticket holders.

·        LUNCH or DINNER – ON YOU OWN (in the parks)

·        Dining Card for a meal of your choice at a Disney Restaurant

·        Check-in at hotel

 

Day 3 (Wednesday, 4/7)

·        Breakfast at hotel – INCLUDED

·        Spend the day at Walt Disney World (Hopper Pass)

·        LUNCH or DINNER – ON YOU OWN (in the parks)

·        Dining Card for a meal of your choice at a Disney Restaurant

·        Disney Magic Music Days Performance in one of the parks

·        Load the buses at park closing and return to hotel

 

Day 4 (Thursday, 4/8)

·        Breakfast at hotel – INCLUDED

·        Spend the day at Walt Disney World (Hopper Pass)

·        LUNCH or DINNER – ON YOU OWN (in the parks)

·        After Dinner, hang out in Downtown Disney or stay in the parks (TBA)

·        Go back to Hotel

 

Day 5 (Friday, 4/9)

·        Breakfast at hotel – INCLUDED

·        Check out and depart HOTEL at

·        Lunch – ON YOUR OWN

·        Dinner - ON YOUR OWN

·        Arrive at Piedmont HS around

 

 

 

We do not have the information for the actual hotel yet.  Typically the tour company puts us in a nice hotel near the Orlando Airport.  We will not get that for awhile.  I will assure you that the hotel rooms will open to an indoor hallway (that has chaperones keeping watch of their flocks by night...haha) and that the guys and girls are on separate floors of the hotel.  We will have ample chaperones staying on each floor.
